You already
have the
demand.

People ask about your treatments every month but never get booked in. You already paid to reach them so we get more of them into your calendar.

Every hour your clinic is closed, we keep working.

The problem

Most clinics don't have a lead problem.

They have a follow-up problem.

01

Missed calls

Someone calls when nobody is available to pick up. Most of them never call again.

02

Slow replies

A message sits there while the patient keeps looking. By the time you answer, they've already booked somewhere else.

03

Forgotten patients

They didn't book today and nobody followed up tomorrow. Past patients quietly stop coming back.

What we do

We make sure the conversation doesn't stop there.

Someone asks

A call, a message, a form — from anywhere, at any hour.

We answer

Straight away, and again if they go quiet.

They decide

Their questions get answered until they're ready to book.

They book

Into your calendar, with multiple reminders that reduce your no-shows.

They come back

Invited back to the clinic before they go to your competitors.

We don't get you more leads. We get you more revenue out of the patients you already have.

Over a year+$86,400

That's 6 more appointments from people who already showed you interest.

6 × $1,200 6 of the 39 who didn't book — 15%

These are the numbers you entered — a picture of what the gap in your clinic is worth, not a guarantee of what we recover.

Winning back a handful of them each month is worth more than the work it took to get them.

What was happening

About 300 people a month were getting in touch. Plenty of interest — the trouble started the moment someone raised their hand.

Roughly 28 calls a month rang out. Messages sat about two hours before anyone replied. Only two thirds of inquiries were followed up at all, and those usually got one or two messages before going cold.

Why it mattered

Every one of those people had already chosen Maison and asked. They were being lost after the hard part was done.

  • How fast you got a reply depended on how busy the desk was that day.
  • Following up relied on someone remembering.
  • Anyone who got in touch after closing waited until morning at best.
  • Nobody could see who had been chased and who hadn't.
What changed

Every message now gets an answer straight away, whatever the hour. Missed calls get a text back within seconds. Anyone who goes quiet hears from us four or five more times instead of once or twice.

When someone's ready to talk properly, the clinic's team picks up the whole conversation — not a name with no context.

What happened after

Around 66 consultations a month became around 87 — with no extra inquiries coming in. The team got nine hours a week back.

It isn't perfect. Roughly 15 inquiries a month still aren't worked as well as they should be.

What was happening

Three locations, about 750 inquiries a month, roughly 360 of them phone calls. The business had got bigger. The way patients were looked after hadn't kept up.

Between 65 and 75 calls a month went unanswered. Messages waited nearly two hours. About 70% got followed up in good time, all of it by hand — one or two attempts, depending on which location and which person picked it up.

Why it mattered

The same patient could be looked after well at one location and badly at another. At three sites, that inconsistency is the business.

  • The service someone got depended on which of the three desks answered.
  • The busiest hours were exactly when staff had least time to reply.
  • Messages piled up overnight and got worked through unevenly.
What changed

One standard across all three, so what a patient gets no longer depends on where their message lands. Every inquiry gets an immediate reply, whatever the location or hour. Missed calls get contacted automatically.

Each location keeps its own calendar, its own team, and its own moment to take over.

What happened after

Around 150 consultations a month became around 203 across the three locations — with no extra inquiries coming in. Chasing dropped from 30 hours a week to 3.

More than 90% of people who message after closing now hear back right away, and what a patient gets no longer depends on which desk picks up.

What was happening

Soho Skin Lab had about 4,800 patients on file who had gone quiet — people who had booked, paid and been treated before, and simply stopped coming back.

This one is different from the other two. New inquiries were being handled fine. The money sitting untouched was behind the clinic, not in front of it.

Why it mattered

The clinic had already paid to win every one of these patients once. Getting them back costs nothing like winning a new one.

  • They were scattered across different systems, with no agreed idea of what "stopped coming" even meant.
  • Reaching out had only happened now and then, by hand, with no record of it.
  • Even when an old patient showed interest, nothing carried them through to a booking.
What changed

We got back in touch over 90 days — spread out over time and written around what each person had actually had done, rather than one mass message to everybody.

Anyone who replied with real interest went straight into the same booking process we run for new inquiries, so a tempted old patient reaches a consultation instead of a dead end.

What happened after

More than 70 consultations, more than 40 patients back through the door, and more than 30 going ahead with treatment — worth over $125,000.

To be clear about that number: it's treatment actually delivered and paid for inside those 90 days. It isn't a forecast, and it doesn't mean all 4,800 were ever going to buy.

You can see it all

Who asked, who was answered, who booked.

One job.
Done right.

Making sure every patient who reaches out gets followed through to an appointment.

  • We don't hand you some other tool and disappear.
  • We stay responsible for it, month after month.
  • We keep an eye on where it can still get better.
  • We keep looking for patients who are still slipping through.
  • We adapt as your clinic grows.
How we start

We take it on.

01

We look

We identify how patients reach you, and where they stop becoming appointments.

02

We build

Set up around the way your clinic already works. Your team learns nothing new.

03

We launch

It goes live, we monitor every reply, and fix anything that doesn't seem to work for you.

04

We run it

Month after month. Not work handed over to you. Kept on our desk.

Your clinic might not be losing patients the same way these three cases were.
